Billing Office Assistant Manager


Olympic Sports & Spine (OSS) is looking for a full-time, experienced Billing Office Assistant Manager to lead our Accounts & Payments departments. OSS provides physical therapy, occupational therapy, and massage therapy at 18 locations in Pierce & King Counties. SUMMARY OF DUTIES: Responsible for the supervision and performance of the Insurance AR, Patients Accounts, and Payment Posting work groups. Prior direct supervision or management experience is required.

JOB RESPONSIBILITIES:

  • Develops and maintains billing office procedures so to ensure a common understanding of essential processes and to assist with new employee training.
  • Responsible for new employee training.
  • In collaboration with Billing Office Manager, completes performance reviews on Insurance AR, Patient Accounts, and Payment Posting work groups.
  • Fields and responds to patient complaints in a timely and effective manner. Investigates reported issues and potential solutions needed. Collaborates with management as needed.
  • Responsible for the execution of the Insurance AR Follow Up and Collections processes. Monitors and advises AR and Insurance AR and Collection work group to ensure timely and effective review of accounts, identification of priorities, the appeal of denials, communication with payers, MVA accounts, and collection of remittance due.
  • Responsible for the execution of the Patients Account Management and Collections processes. Monitors and advise Patient Accounts work group to ensure timely and effective review of accounts, identification of priorities, communication with patients, the establishment of patient payment plans, coordination with the collection agency, and collection of patient responsibility.
  • Responsible for the execution of Payment Posting processes. Monitors and advises the Payment Posting work group to ensure the timely and accurate posting of payments, monitors payments and write-offs for accuracy, review remit stations and banking sites to ensure timely posting, and monitors internal systems to ensure payments have all been allocated and posted.
  • Manages and completes the patient and insurance refund processes. Reviews refund requests for accuracy and submit them to accounting for processing.
  • Actively pursues continuing education for self and ensures all members of billing staff complete pertinent continuing education coursework.

SUPERVISORY RESPONSIBILITIES

Shared supervisory responsibilities with the billing office manager over the Insurance AR, Patient Accounts, and Payment Posting work groups. Is responsible for the overall direction, coordination, and evaluation of these units. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include participation in the interviewing, hiring, and training of employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education/Experience: High school diploma or general education degree (GED). At least five years of medical billing experience and two years in a supervisory role. An understanding of physical therapy billing is required. Experience using Raintree's Electronic Medical Software (EMR) is strongly preferred.
