    The State Board for Educator Certification will require all first time applicants for an initial credential to be fingerprinted as part of a national criminal background check. A cost of up to $49.00 will be charged for fingerprinting.
    PRIMARY PURPOSE:
    To provide direction and guidance for HR Records staff related to the daily operations, systems, processes, and procedures to ensure consistent and sustainable practices across all staffing groups. Compile and maintain accurate district employee records efficiently and expeditiously while aiding district employees in a professional, timely manner and interfacing with other departments to meet the needs of all employees.

    MAJOR RESPONSIBILITIES AND DUTIES
    • Oversee all processing and retention of all physical and computerized employee files in compliance with federal and state laws.
    • Oversee interface with payroll for all full and part time staff to ensure efficient and accurate processing.
    • Oversee and coordinate orientation for new employees, including processes and physical/electronic forms.
    • Communicate regularly with HR administrators regarding work status or relevant department needs and/or any issues that arise.
    • Maintain accurate employee records system and reconcile discrepancies for all full and part time staff.
    • Assist in compilation and analysis of human resources statistical data.
    • Serve as main point of contact for HR related audits, ensuring deadlines are met and necessary materials are prepped.
    • Support the criminal history screening process. Exercise discretion and ensure compliance with fingerprinting regulations, computerized criminal history (CCH) guidelines, and related data to comply with all audit regulations and district/state/federal laws and regulations.
    • Collaborate with appropriate staff to develop and maintain electronic documents relative to HR processes (contracts and letters of reasonable assurance).
    • Coordinate annual processes for distribution and completion of new contract deployment, employee contract renewals, letters of reasonable assurance and service records.
    • Assist in responding to requests for information and PIA requests.
    • Demonstrates regular and prompt attendance.
    • Perform other duties as assigned.

    SUPERVISORY RESPONSIBILITIES
    • Supervise HR Records Specialists.

    GENERAL QUALIFICATION GUIDELINES

    Education/Certification/Experience:
    • Bachelor’s degree in human resources or related field preferred. Relevant experience may be substituted for degree.
    • Experience in human resources.



    Knowledge/Skills/Abilities:
    • Knowledge of HR law including but not limited to independent contractor, employee criminal history; and word processing, data entry, and file maintenance skills, including the ability to maintain accurate and auditable administrative and financial records.
    • Skill in organizational and interpersonal relations; emphasizing the ability to communicate pleasantly; and effectively with public and staff members in person, by phone, and in e-mail.
    • Ability to maintain confidentiality; use personal computer and software to develop spreadsheets, maintain and update databases, accomplish word processing tasks, prepare presentations, and access e-mail and Internet applications; handle variety of tasks and responsibilities; manage time and prioritize work responsibilities; analyze problems and situations quickly, draw logical conclusions; proofread typed materials for contextual, grammatical, typographical and spelling errors; manage many tasks at once, prioritize tasks, and manage time; and exercise good judgement and discretion in dealing with confidential information.
