Job description
The ideal candidate will have proven experience supporting a senior leader with a large organization, tracking deliverables, priorities and essential follow up on behalf of the senior leader. They are required to have exceptional travel planning, calendar management, organizational skills, and a strong presence in all communication types. They need to be highly resilient and adaptable to constantly changing business priorities. They need to be proactive, have meticulous attention to detail and execution of all responsibilities, strong judgement and decision making, and be highly proactive/forward planning.

In addition to traditional EA support, they may also need to meticulously plan and lead large events, Town Halls, and other outside activity such as local marketing events. Demonstrated experience in financial services and project management is preferred. The candidate must diplomatically represent the senior leader at all levels of the corporate hierarchy which includes interacting with various executive level clients and internal constituents across all lines of businesses. Superior interpersonal and communication skills are required.

Creative presentation skills, experience with managing projects and fluency in Microsoft Office are required. The candidate should be comfortable taking senior leader thoughts and draft ideas/communications for use in Town Halls, internal communications and org announcements and senior leader presentations, etc. Individual will proved essential floor support for the broader office as needed.

Examples of Key Responsibilities:


  • Gatekeeper of all contact with the public, clients and staff coming through the executive's office
  • Manage extensive and complex calendar for Senior Executive in a fast paced and dynamic environment
  • Schedule demanding internal and external meetings; adjust and prioritize last-minute changes including logistics such as conference rooms, events, and catering
  • Screen incoming calls and determine the level of priority while using caution in dispensing information
  • Respond and follow up on managers behalf, delegate tasks to manager's leadership team where applicable
  • Manage day-to-day schedule; ensure that the Senior Executive is well prepared for meetings and maintains list of follow up actions working closely with the Business Manager
  • Work closely with Business Manager on maintaining key documents including organizational charts and background materials. Able to take succinct minutes and replay key takeaway and themes from senior meetings.
  • Coordinate and organize senior meetings, including but not limited to agenda setting, material preparation and distribution, coordination of guest speakers, and logistics.
  • Manages Share Point and distribution lists
  • Arrange and maintain extensive travel plans and itineraries for both international and domestic travel
  • Plan and lead events as needed
  • Produce draft communications and presentations
  • Reconcile and complete expense reports
  • Maintain a poised attitude under pressure with the flexibility to adapt to changing priorities in a deadline driven environment
  • Be extremely well organized with exceptional time-management skills
  • Can work independently and handle constantly changing needs
  • Demonstrate the highest level of integrity, confidentiality, and trustworthiness
  • Be approachable and have an engaging positive attitude

Qualifications:
  • Fluent in MS Outlook, Word, Excel, and PowerPoint
  • Fluency in Share Point a plus
  • Basic Project Management skills and demonstrated experience
  • Effective interpersonal skills
  • Superior oral and written communication skills
  • Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
  • Advanced ability to organize
  • Tact and good judgment in confidential situations and proven experience interacting with senior management
  • At least 5 years of administrative experience ideally supporting C- Suite Executives or Managing Director level
  • College degree is a plus
