Job Title: Executive Assistant to the CEO
Status: Full Time Non-Exempt Department: Administration Office

POSITION SUMMARY:
This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening the community through youth development, healthy living, and social responsibility. The
Executive Assistant to the CEO at the Norm Waitt Sr. YMCA intentionally fosters a cause-centered culture that is welcoming, genuine, hopeful, nurturing, and determined and provides high-level administrative support to the CEO, The Board of Directors while exercising confidentiality, discretion, independent judgment, and the ability to maintain a realistic balance among multiple priorities and pressures.

ESSENTIAL FUNCTIONS:
- Manages the CEO’s schedule. Helps to schedule opportunities for the CEO to articulate the YMCA’s mission and vision. Makes travel arrangements as necessary and prepares expense reports.
- Regulates behavior based on the assessment of a situation, personal feelings, strengths, and limitations; uses discretion and independent judgment in handling confidential and sensitive information in connection with the CEO’s responsibilities.
- Speaks in a clear, articulate manner.
- Writes clearly and concisely, using correct grammar, vocabulary, and appropriate tone for the message or audience.
- Maintains highly confidential executive and board files and correspondence.
- Coordinates annual schedules for Board of Directors and management meetings; produces and maintains minutes for meetings of the Board of Directors.
- Coordinates arrangements for meetings of various committees, task forces, public officials and groups.
- Coordinates with the CEO to help he/she focus on moving the Y’s strategic initiatives forward.
- Maintains computer databases for various reports, committees, and mailings.
- Maintains organizational chart(s).
- Coordinates staff needs with leadership needs.
- Gathers data, compiles, and prepares all national statistical and assigned strategic plan reports.

QUALIFICATIONS:
- Bachelor's degree in social services, business or equivalent preferred.
- Three or more years of related experience working as assistant to high level executives or administrators, preferably in a nonprofit setting.
- Trustworthy - able to recognize and maintain the confidentiality of sensitive information
- Ability to work with integrity, discretion, and a professional approach.
- Advance written and verbal communication skills
- Excellent in in organizing and drafting correspondence, using appropriate composition and accurate typing, and English communication skills: grammar and spelling.
- Ability to speak any language in addition to English may be helpful.
- Proficient in all standard business software.
- Knowledgeable about office processes and procedures.
- Ability to maintain a positive, “can-do” attitude, takes initiative, and build solid professional relationships with stakeholders, staff, and community members.
- Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.).

- Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
- The noise level in the work environment is usually moderate.
Salary Range:
$21-$28 per hour
