Job Description

The Flight Scheduler and Concierge is responsible for logistics related to our flight operations as well as ensuring our customers’ trips run smoothly. This position provides excellent customer service to our Program customers, schedules aircraft and crew, books hotels, provides catering, ground transportation, as well as other administrative duties.

The department is set up to work 9 days per month scheduling and 6 days per month in the office as a customer concierge to ensure our customers’ trips run smoothly. The scheduling function allows working from home.

We are currently averaging roughly 20 flights per week or around 3 per day. Some days may have 0 flights, some days may have 6.

The candidate should be detail oriented, able to think on his or her feet, and thrive in a fluid environment. Two years in a similar role or similarly paced environment preferred.

Scheduler Essential Functions

  • On-call 9 days per month
  • Ensure that all trips run as smoothly as possible
  • Receive calls from customers and ensure all requests are satisfied
  • Respond to emails and phone calls timely
  • Crew trips appropriately and timely
  • Assign aircraft to trips appropriately and timely
  • Pay close attention to inclement weather or other circumstances that may result in delays and/or flight cancellations
  • Monitor crewmember schedules to ensure FAR compliance
  • Notify crew, maintenance, cleaning department, and FBOs of changes to schedule as they occur
  • Secures all necessary accommodations, including but not limited to hotel and deadhead flight booking
  • Ensure catering orders are fulfilled
  • Verify crew lunches are ordered as necessary
  • Track flights until completion and communicate with brokers as necessary
  • Work with sales team to schedule flights timely

Concierge Essential Functions

  • In the office 6 days per month
  • Ensure that all trips run as smoothly as possible
  • Greet customers and handle any last minute requests
  • Ensure SIC responsibilities are complete
  • During hotter days, ensure A/C cart is used prior to flight
  • Ensure SIC packs both catering and crew lunches if applicable
  • Ensure customer cars are in place for arrivals at KSAT
  • Verify aircraft is on ramp and fueled and ready to go
  • Train crews on how to clean and present aircraft during quarterly training sessions
  • Assist on-call scheduler for a minimum of 2 hours

  • Minimum two years of experience in a similar position
  • Must possess a High School diploma
  • Motivational skills to ensure happy Flight Crew members during stressful times
  • Must have strong analytical skills and be able to make complex decisions while keeping the department’s and Company’s philosophies and goals in mind
  • Must have critical thinking skills to recognize, evaluate, and solve issues
  • Ability to work through multiple problems/solutions prioritizing and sequencing the execution of issues to manage and resolve them quickly and effectively
  • Work as a team with the other schedulers, ensuring 7-day operation is covered and be available for after-hours during on-call days as necessary
  • Available to cover PTO within the team
  • Must have excellent phone skills
  • Must have excellent people skills when greeting customers, coworkers, and FBO staff
  • Must have excellent PC skills to include all MS Office products and Google Workspace
  • Must be a detail oriented, self-starter and able to work with little supervision while maintaining goals/tasks
  • Must have good written and verbal communication skills and be able to effectively communicate in a professional manner with customers, staff, and management
  • Must be able to handle multiple tasks simultaneously while managing time in a proficient and effective manner
  • Ability to walk on uneven ground (gravel, rocks, mounds, ice)
  • Ability to work in adverse weather conditions (cold or heat)
  • Ability to work as a team, communicate and interact with others in a professional manner, and consider alternative and diverse perspectives
  • Ability to work in the United States

Compensation

$50,000 - $55,000 for 3 month probationary period working as a concierge Monday through Friday while training to move into the full role as Scheduler + Concierge.

$60,000 - $65,000 as a Scheduler / Concierge after the probationary period ends.

PTO coverage of coworkers presents the ability to earn an additional $5,000 per year. International trip bonuses presents opportunity to earn an additional $4,000 per year.

Total gross earnings expected to be $69,000 - $74,000 per year.

Pay: $65,000.00 - $75,000.00 per year
