Front Office Clerk
Reports To: Front Desk Supervisor
Salary: $20
Job Status: Full Time (40 Hours Per Week)
Schedule: Tuesday – Friday 8:30 am – 5:30pm
Saturday 8:00 am – 4pm
Position Overview: The front desk clerk will provide support to the administration team assisting several departments including Energy Services & Weatherization, Youth Services , Vita and PADNET . This position will require a professional work ethic with the ability to multi task while providing excellent customer service to internal and external clients.
Duties and Responsibilities:
· Professionally answer all incoming calls with a polite, consistent phone manner and using proper phone etiquette
· Ensure phone calls are redirected accordingly.
· Greet guests in a professional, friendly, hospitable manner.
· Open and close visitor area (locking doors, closing blinds, turning off lights).
· Retrieve messages for various personnel.
· Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
· Received, sorts and forwards incoming mail.
· May also assist with other related clerical duties such as photocopying, faxing, filing and collating.
· Provide back-up assistance to the LHEAP Energy Assistance Team during workshops
· Assist the Vita Team with scheduling clients appointments for tax services

Qualifications and Skills
· High School Diploma or GED Equivalent
· A minimum of 1 year experience of front office reception or call center setting required.
· Experience with a non-profit organization is preferred.
· A combination of training and experience which provides the required knowledge and abilities needed to perform assigned duties is also acceptable
· Proficient with Microsoft Word, Power Point, Excel and Outlook.
· Proactive in addressing the needs of management based on task pending.
· Ability to prepare written documents for presentations, grants, proposals and professional correspondence under the guidance of management.
· Manage small projects as assigned by manager.

Knowledge:
Ability to understand and carry out oral and written instructions; communicate clearly and concisely, both orally and in writing; and establish and maintain effective working relationships with those contacted in the course of work.
Work Environment:
Work is performed in an office environment; frequent contact with other staff and public; moderate level of noise. The nature of this position may also require to working outdoors in all weather conditions including wet, hot, and cold.
Physical Demands:
Position requires sitting, standing, walking on level and unleveled surfaces, reaching, twisting, turning, kneeling, bending, stooping, squatting, and crouching in the performance of daily activities. The position also requires near, far, and color vision when assisting in activities of program participants.
Additionally, the position requires grasping, repetitive hand movement, and fine coordination when writing and typing announcements and advertisements and providing instructions.
Supervisory Responsibility:
This position has no supervisory responsibility
