Job Description

The mission of Wytheville Community College is to provide a quality, comprehensive education for the citizens of the counties of Bland, Carroll, Grayson, Smyth, and Wythe and the city of Galax. Some of the responsibilities of the position include but are not limited to:

Coordinates with the Virginia Department of Taxation’s debt set-off program;
Works closely with the College’s contracted collection agency on past due accounts;
Responsible for setting up tuition charges and item-types in the Student Information System (SIS); Performs financial aid payment and reconciliation process, including performing needed journal entries based on the reconciliation in the Accounting Information System (AIS);
Performs all refunds (tuition and workforce);
Responsible for compiling data and preparing the College’s Quarterly Receivable Report;
Calculates and processes allowance for doubtful account entries each quarter;
Maintains excel spreadsheets for all receivable and collection activity;
Performs any write-off entries in the College’s PeopleSoft application;
Responsible for monitoring and performing necessary activity on any unclaimed financial aid balance check payments;
Backup for financial aid posting process and financial aid balance check disbursements.; Responsible for working with the college’s payment plan provider on payment plan setup; Responsible for Work with central receiving to ensure a complete inventory count is done every two years;
Update the Asset Management System and inventory spreadsheet when additional ETF or College equipment is purchased or items are surplused; and
Other duties as assigned.

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.



KSA's/Required Qualifications
Associates degree in accounting, business administration, or general business (or equivalent experience and education);
Experience in providing customer service;
Experience in a fast-paced environment;
Skilled in the use of Microsoft Office (or equivalent) software. Specifically spreadsheets; and Previous accounting/bookkeeping experience.

Preferred Qualifications
Bachelor’s degree in accounting, business administration, or general business or experience equal to that of a Bachelor’s degree;
Working knowledge of the Commonwealth Accounting Policies and Procedures (CAPP);
Experience with PeopleSoft (or equivalent) student and accounting information systems;
Work experience in a Higher Education setting.; and
Experience working with a set-off debt collection program.
