Job Summary:
The Assistant Manager will manage and oversee the Manufactured Home Communities Operations, along with Financing Aspects of this position. The Assistant Asset Manager will be in charge of many supervisory and training responsibilities overseeing staff daily activities and directly communicates with third parties, prospects, residents, and vendors. The purpose of this position is to assist with the day‐to‐day functions of the MHC Manager, supporting all aspects of management pertaining to the property.
Experience Requirements:
- Position prefers 1-2 years experience in customer service
- Ability to communicate both verbally and written communication with customers and residents
- Completely computer literate, including Microsoft, Office, Excel, G-Suite, and other various operational programs; Proficient in Yardi or other similar property management software
- Assist in setting training goals for inexperienced employees
- Ability to speak effectively before groups of customers or employees
- Ability to communicate effectively with vendors and have some understanding of general maintenance work
Education Requirements:
- High School Diploma or Equivalent
- Occupational MHCs Sales License - preferred

Additional Requirements:

- Employees must fulfill the performance standards of this position and comply with policies, rules, and procedures of the company, including those set out in the Employee Handbook or otherwise communicated (verbally or writing,) to employees
- A strong background in customer service, some basic knowledge of building structures, and experience in coordinating and scheduling are essential.
Job Duties and Responsibilities of the Assistant Community Manager:
General Operations-
General Operations-
- Maintain accurate resident records; Update on daily basis all rents, deposits, and application fees received from residents; issue and monitor appropriate notices when necessary (e.g., late payments, eviction notices, returned check memos)
- Supervise the process of collecting rent; ensure that all rents and late fees apply and daily update Delinquency Dashboard
- Track all 3/60-Day Notices, work with Managers to process all notices, serve them and follow up accordingly before the expiration date
- Process all Evictions related files with the legal department
- Assist with submitting invoices to Westland Real Estate Group’s corporate office for payment, handle petty cash and all funds
- Manage Inventory for all Park Homes, Maintenance Status, Rentals, and other inventory units
- Assist with performing tenant screening system, which will be implemented and executed by subordinated employees
- Manage and oversee all Inspections related issues, including Fire, Pool, and Insurance Inspections. Also oversee New MHP set Up Inspections, including coordinating them and keeping records of all inspection reports.
- Oversee General Recurring Vendor work such as pool services, landscaping work, security services, and other regular services provided to our Parks.
- Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participate in professional organizations; accomplish organizational goals by exploring new opportunities to add value to property’s value
- Maintain records on all aspects of management activity on a daily, weekly, and monthly basis
- Oversee periodic inspections with residents that move-in/move-out
- Review all notices to vacate to determine the cause of the move-outs, oversee the entire move out process and keep records of all move-out records
- Monitor renewals and distribute and follow-up on renewal notices
- Assist with implementing policies/procedures to maintain resident communications; i.e., complaints, service requests, etc.
- Oversees satisfactorily on maintenance and service by conduction reports on monthly Service Requests; ensure proper maintenance and inspect properties periodically
- Oversee the fitness of community facilities, including laundry, mail, community amenities, and fitness centers
- Oversee Emergency Preparedness and Plans for all Parks
Supervisor Responsibilities-
- Assist with hire, train, motivate, and supervise all MHC staff in order to achieve operational goals; this includes new employee orientation and training, ongoing formal and informal performance evaluation, review and approval of timesheets, instructing and advising on-site staff of employee procedures and guidelines
- Create an atmosphere of cooperation, enthusiasm, service urgency, teamwork, customer satisfaction, and professionalism among staff members
- Conduct ongoing training with office staff; e.g., leasing paperwork, workplace safety, and any other type of training that may be needed on a daily basis
- Conduct timely meetings with all staff members, set weekly goals, and provide with the needed support to accomplish these goals
- Conduct periodical interviews of team members, oversee their performance, and provide written short term/long term goals
- Initiate an efficient reporting/tracking system
- Conduct periodical training sessions on professional operation
- Report to Asset Manager on a weekly basis
