Occupational Summary
The Radiology Department at Duke is a cohesive group of physicians and staff whose mission is to bring high quality efficient imaging services to Duke’s patients in the Triangle. The Reading Room Coordinator (an Administrative Assistant in the Duke Classifications) will support the department’s mission and will serve as a key organizer of various assigned duties.
The Reading Room Coordinator is responsible for providing clinical operations support of a complex and confidential nature to Radiology reading rooms located throughout the Duke University Health System (DUHS) campus. This includes, but not limited to, providing timely multi-directional communication (phone, email, jabber, in-person), facilitate key workflows such as imaging exam resulting, outside interpretation requests, and information exchange between Radiologists, technologists and all other health care providers as well as act as a positive, collaborative, and flexible team member willing to adjust to a dynamic and fast-paced environment.
This position will work onsite. The hours for the position will be four 10-hour days per work week with a required weekend option (Sat, Sun, Mon, Tue).
Work Performed
- Politely greet and communicate with reading room customers via phone, email, page, inbox, instant messaging, and in-person. Manage a high volume of inquiries in a timely fashion, and appropriately screen and triage requests to support efficient reading room operations.
- Serve as liaison for all reading room inquiries; address questions related to all imaging modalities including CT, MR, Ultrasound, and X-ray, as well as non-vascular interventional procedures.
- Assist with Lung Cancer Screening CT eligibility reviews; compile and summarize data, and assist in preparing reports.
- Assist with obtaining prior medical records; may require additional coordination with outside facilities to receive the information electronically by email or electronic fax.
- When assigned to Neuroradiology Imaging reading room, manage the list of Brain Tumor Clinic patient appointments that require a wet read for brain MRI and insure the wet read is completed timely. Coordinate communication with the fellows regarding general anesthesia notes required for patients’ surgery approval.
- Assist with on-boarding of new hires as well as reading room orientation for new Radiologists and Medical Students.
- Take responsibility for reading room physical space; manage minor environmental services/maintenance requests.
- Maintain office supplies for the reading rooms.

Skills
- Excellent verbal and written communication skills.
- Knowledge and use of medical terminology, specifically anatomy, as well as strong clinical information skills. Knowledge of radiology modalities and procedure types highly preferred.
- Must be able to function independently in a fast-paced environment
- Team player with a desire to collaborate and liaise with reading room coordinators, department leadership, and all other Radiology partners.
Required Qualifications at this Level
Education/Training
Work requires a broad knowledge of clerical and healthcare principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business or healthcare field. Post-secondary education or certification in a healthcare field is highly preferred.
Experience
Work generally requires four years of related healthcare or office experience to acquire skills necessary to administer functions related to office management, communications, and clinical support activities.
