Overview of the role
The Lease Administration Team of Williams-Sonoma, Inc. handles the day-to-day management and administration of retail and non-retail leases for the company, in addition to the developing and creating a satisfactory customer relationship with our Landlords, Property Managers and Vendors.
You will be part of the real estate department and will work as an integral partner in the Lease Administration Team, working closely with real estate finance and real estate legal. You will be challenged everyday in this role and will work closely with your team members and our external lease management team. Your duties will include, without limitation, ensuring that monthly rental expenses are paid accurately and on time, together with the timely processing of account reconciliations, interfacing with maintenance, construction and Real Estate departments to facilitate resolution of outstanding issues and preparing various reports and schedules used by executives, finance, legal, development and operations related to the real estate portfolio.
Responsibilities
- Analyzes and Interprets Lease Agreements and their ancillary documents to ensure proper application/compliance regarding billings and payments and disputes expenses when necessary.
- Analyze landlord’s year-end billings to verify accuracy and lease compliance.
- Review insurance, real estate taxes and other costs for accuracy and compliance with lease terms; negotiate CAM resolution settlements..
- Negotiate CAM resolution settlements with landlords and review landlord billings for rent
- Interface with Maintenance, Construction and Real Estate departments to facilitate resolution of outstanding issues.
- Serve as primary contact for landlords, 3rd Party Vendors and property managers .
- Prepare lease-related correspondence and forms, including estoppels, rent commencement memos and trigger-date memoranda.
- Partner with Legal and Real Estate management to negotiate revisions to lease language
- Identify and Track Year to Year to Cost Savings through reconciliations, cost avoidance and waiver of penalties and late fees.
- Processing Rent Files and Off Cycle Rent Files.
- Creation of Variance Reports in conjunction with Lease Admin Finance Team
- Collect and Submit Lease Administration vendor updates to the Lease Admin Compliance Team.
- Use Oracle to track payment information and run payment reports.
- Manage, Calendar and Send Out Direct Pay Taxes to taxing authorities.
- Update Tango with additions or changes to escrows and utilities.
- Complete special projects as assigned.
- Duties may change; team members may be required to perform other duties as assigned
- Adhere to company work hours, policies, procedures and rules governing professional staff behavior
- Operate a computer and communicate via telephone
- Transport materials and equipment and lift, move, and carry objects up to 50 pounds on a limited basis
Criteria
- Bachelor’s degree in Real Estate, Accounting, Finance or relevant field of study required
- 3+ years of lease administration or property management experience with a large multi-site commercial real estate tenant or landlord
- 3+ years of legal experience in matters relating to commercial real estate transactions
- Knowledge of lease agreement/contract terms - ability to interpret, abstract and analyze leases and other legal documents, Knowledge of real estate terminology
- Strong interpersonal, written, and verbal communication skills to interface effectively with individuals at various levels
- Ability to exercise independent judgment, as well as effectively contribute to a team environment
- Analytical with strong problem-solving abilities and creative resolution skills
- Self-Motivated
- Ability to work well under pressure while consistently meeting time sensitive deadlines
- Ability to prioritize workload, meet multiple deadlines simultaneously in a fast paced, frequently changing environment
- Basic GL Understanding, Account Reconciliations, General Ledger, Year End Reconciliations
- Strong Microsoft Office program experience, including Word, Excel and Oracle accounting software
- Ability to perform work onsite in the (San Francisco, Rocklin, Portland, New York, San Jose) office full-time pending state, local, and Company return-to-work guidance during and after the COVID-19 pandemic.
